Food and Drink Case Study Client: Chase Distillery

The Client and Background

Chase Distillery are a familly owned, single estate distillery, creating fine spirits since 2008 from it's own produce grown on the Chase farm in Herefordshire. It is in this speacial county that William Chase was born and started his two businesses, Tyrrells Crisps and now Chase Distillery.

The company had been using Sage 50 for several years but found it too restrictive and unable to meet the increasing functional requirements of the business as it expanded.

Situation and Requirements

Sage 50 lacked the capability to meet some of the requirements which are key to the food and drink manufacturing industry such as end-to-end raw materials and product traceability and, specifically for alcohol production, the ability to provide statutory information to Customs and Excise. These functions were being undertaken manually and were very time consuming and prone to error.

The company also needed to gain deeper control over it's raw materials stock management, operations and costs. While it was not deemed necessary to implement the full MRP Manufacturing suite, it was decided to implement Bills Of Materials processing to gain the controls the production processes required.

The key requirements that were established for the project included;

  • a seamless transition to a single, integrated multi company system for all departments
  • a robust system that could scale with the business as it grew and diversified
  • advanced dynamic reporting for performance analysis across all departments and processes
  • full end-to-end traceability of batch numbered raw materials from supplier to customer delivery
  • Bill Of Materials processing to automate the recording of manufactured products and costs

Solution and Outcome

The project was delivered in two phases. The first phase was to replace the Sage 50 business systems with the Sage 200 Financial and Commercial modules to create the robust and flexible multi company platform which could scale up to facilitate the company's growth.

The second phase involved the introduction of the Bill Of Materials module to provide control over the processes and costs involved in the manufacture of the products. Prosys Computing also provided some software customisation to fully automate the manufacturing process and reduce the need for manual intervention.

Prosys Computing also provided Chase with interactive dashboards and customised graphical reports to give management the visibility they needed to monitor and optimise production.
