Dear Customer,

Welcome to the November edition of the Prosys Computing Newsletter.

This month brings important news on Sage 200 2009 and also Sage CRM along with the other features such as Hints and Tips and Customer Stories. There is also information on some important NI changes next year for Payroll users.

Our Sage 200 Period End workshop in October was very well received. Here are some comments from customers attending:-

Well done to Hannah and the rest of the team for holding a MacMillan Coffee morning at our offices to which we invited neighbouring business to make a small contribution for a coffee and some cakes (we seem to have some good bakers at Prosys!) The event raised £180.00 which Prosys doubled making £360.00 for a very worthwhile charity.

Another month another baby... following on from Charlotte Ainsworths announcement last month congratulations to Shawn Green and his wife Jo on the birth of a baby girl, Ava Isabelle, on October 6th.

Software News

 

Sage 200

Sage have announced the planned release of Sage 200 2009 for February.  Although we don't have details of the new features yet, this release will have implications for the Server platform on which it is run.

This version will not be compatible with Microsoft Windows operating system 2000 This will only be supported on Microsoft Server 2005 & 2008.

Sage 200 2009 will support Microsoft SQL server 2008 Workgroups and Standard edition. It will not support SQL Express, SQL Server Enterprise or SQL Server Developer editions.

Meet Customer demands through the use of Graphical Planner

Delivering on time is critical for customer satisfaction.  Sage 200 Manufacturing and Sage 50 Manufacturing Controller includes Graphical Planner a powerful planning engine powered by Preactor.  Graphical Planner works alongside MRP and shows a graphical schedule of work (i.e. works orders and MRP 'make' recommendations) that is required to meet the demands of your customers.  You are able to make the most efficient use of resources whether it is Machines or Labour and create an optimized and achievable production plan.

Construction

Bug Fix – Affecting an issue with Sage Construction linking to Sage 50 2008 where retention/tax credit notes are being allocated an earlier date than expected

This was due to a change in the way Sage 50 operates, but could cause problems with Monthly Return calculations once updated back to Sage Construction. 

The version 12 upgrade (scheduled for release in the New Year) will resolve this, but Sage have now released a file that can be installed that will resolve this for current 11.5.1 installs of Construction as well.  Please be aware that this will only work for V11.5.1 installs, so customers using earlier versions will need to upgrade to this first.

Intelligent Construction Analysis (ICA) – Giving you the information you need from construct

Intelligent Construction Analysis (ICA) will be included in Sage Construction as standard in future but Sage is making this available to existing Sage Construction users now.  To offer this new functionality Sage has created some new Views in the SQL database which you can access through Microsoft Excel. 

We will be writing to you shortly to invite you to a half day workshop where you will be given copies of the new Sage Construction Views and be shown how to setup and use ICA, the cost of the workshop will be £150 per person.  We installed the views here and set up a couple of spreadsheets in excel so can assure you it’s quite straightforward.  Once you have set up your spreadsheets they can be refreshed at any time to quickly give you up to date Construction information in excel, this can save you a lot time if you have to prepare spreadsheets for monthly meetings.

CRM

November 2008 sees the launch of the latest version of standalone Sage CRM in the UK - Sage CRM v6.2. This version introduces a number of new features including:

 

Themes - Sage CRM v6.2 now has the ability to change the look and feel of Sage CRM. It provides the tools to match Sage CRM colours and fonts.

 

Relationship Manager - This exciting new feature provides the ability to link any primary entity to any other primary entity and gives a description for the relationship. Relationship manager allows you to describe and visualise valuable relationships with customers, which leads to more productive use of your CRM data resource.

 

New Email Editor Toolbar - This new functionality rich toolbar lets you create and edit emails within CRM. The toolbar includes features such as spell checker and editing tools.

 

Component Manager Enhancements - Improvements to this existing feature allow you to export customisations from one CRM system to another CRM system.

 

This version of CRM will become available to Sage 200 CRM users with the release of Sage 200 2009 in February 2009. Watch this space in the next newsletter for full details of the Sage 200 2009 CRM enhancements.

Sage 50

Sage 50 Accounts 2009 has seen the introduction of batch reporting.  This can be used to group a number of reports together, which can then be run at the same time.  For example, if you run a particular set of reports at month end, these can be grouped together and then when you run the month end batch report it will generate the whole set, saving you time and effort. However, please be aware that you can not add layouts such as statements to a batch report.

To Create a Batch Report

1. Click on the Tools menu and select Batch Reporting

2. In the description box, place a suitable name foe the batch such as ‘Month End’

3. From the available reports, select the ones you wish to include.

Payroll

National Insurance Changes for 2009/2010 UAP

From 6th of April 2009 the Government is introducing a new National Insurance (NI) threshold, called the Upper Accrual Point (UAP), which affects the calculation of NI contributions.

The introduction of this threshold is specially aimed at achieving the Government’s objective of having a flat rate State Second Pension by 2030.

The current software has the following bands;

 

From the 6th of April 2009, the bands will need to be:

            Earnings up to Lower Earning Limit

            Earnings from Lower Earnings Limit to Earnings Threshold

            Earnings from Earnings Threshold to UAP

            Earnings from UAP to Upper Earnings Limit

As a result of the introduction of this forth band, the Legislation Settings within Sage Payroll will need to be amended.

This means that using your current software you WILL NOT be able to:

            Amend the Legislation Settings for use beyond the 2009/2010 tax year

            Submit your 2009/2010 Year End returns electronically

            Or use 2009/2010 HMRU Year End Forms

If you have a valid SageCover contact you will receive a 2009/2010 compliant version of Sage Payroll.

If not we recommend that you re-instate your SageCover contract. 

If you have Payroll version 11 or older you may also need to buy an upgrade to version 15 or take out SageCover Extra and send us your data to upgrade through the versions.

Recent Incident News – Sage 200 Link with Payroll

The company name used within Sage Payroll is used as part of the unique identifier on a resource in Sage 200, therefore if this company name is changed all the existing resources will be marked as inactive.

Hints and Tips


Payroll

Customising the Payroll Outline

The standard outline will show you, Payment Period then Department;

 

But if you don’t operate all for payment periods and or payment methods they can be un-ticked to make you screen easier to read.

You can change the criteria for example if you wanted them by Payment Type then Department then Payment Period;

 

You can also hide current and/or historical leavers.

NB please be aware that you would need to un-hide current leavers before doing any year end procedures.

To make these amendments click Criteria on the top menu bar.

Sage 50

You can validate your chart of accounts using the ‘check’ button within the edit layout screen; this can be a useful tool as it will verify the layout, letting you know of any errors such as, you have included an item twice or left several out.

List View Filters

Did you know that filters are available which enable you to gain more from the list view?  Filters can be accessed and created from the bottom of the list view and can be used to help with reporting as shown below:

CRM

What hot keys are available in CRM?

If you like working with your keyboard, a number of hot keys are available to make it quicker and easier for you to perform certain tasks in the system. Different hot keys are available in different CRM screens. You can identify the availability of a hotkey when you see that the a letter on the action button name is underlined. 

Selecting Alt plus the letter that is underlined performs that action. For example if the letter T is underlined on the New Task action button on the current screen, selecting Alt and T creates a new task.

The complete list of hotkeys available are:

Alt + A: Creates a new appointment within the Calendar or Communication tab. The tabs must be in List View to use it.

Alt + T: Creates a new task within the Calendar or Communication tab. The tabs must be in List View to use this hot key.

Alt + E: Creates a new E-mail within the Calendar or Communication tab.

Alt + V: Switches between Calendar and List view within the Calendar or Communication tab.

Alt + F: Filters a list according to the criteria you specified.

Alt + N: Creates a new entity in the current context. For example, in the Library tab of the Company context.

Alt + C: Lets you exit from some screens.

Alt + S: Saves records.
